Introduction:
Thank you for taking the time to review the Inventory Organizer
System (IOS). IOS is a shareware program, that is, you may try
it before you buy it. If you continue to use the program after
evaluating it you should become a registered user. Feel free to
give IOS to your friends or upload it to any BBS as long as all
files on the distribution diskette reman unaltered. IOS cannot
be used in a business unless it is registered.
All files on the distribution diskette must remain unaltered!
Why should you use the Inventory Organizer System?
1. Quick and easy method of recording all your possessions.
2. Easily determine the value of your possessions.
3. Allows you to analyze your insurance needs.
4. Easily locate any of your possessions.
5. Recording of vital information for Warranty services.
6. Cross-Reference items (if recorded on VCR) by VCR Tape
and VCR Counter number.
7. Ability to Write a Form Letter including data from the
inventory item file, such as Date of Purchase, Where
purchased, Serial #, Model, Manufacturer, Warranty
expiration date, and Purchase Price. This proves
invaluable when a problem arises with a purchase!
8. Create Simple Lists and Labels of your design.
9. The Report Writer allows you to create your own
specialized reports.
10. Menu driven and user friendly.

disk text file. In addition to printer ports LPT1
or LPT2, or COM1 can also be chosen. All reports
allow for selection criteria to determine whether to
list all inventory items or only items that match the
criteria you requested.

View file statistics of System Files

Use this to determine total disk space needed for
backups.

12 Predefined Color combinations such as, Sea Foam,
California Cool, Red Hot etc.

1. Use this option if an index gets corrupted, this
could happen if a power failure should occur.
Also if you delete a lot of records by choosing

files will be recovered, therefore using less
disk space.

You establish your own categories, such as Appliances,
Furniture, Books, etc. Each item when entered into the
IOS system is assigned one of the categories you create.
Maximum of 1 million categories.
- Location List is user defined
You establish your own locations, such as Kitchen, Den,
Storage Room, etc. Each item when entered into the
IOS system is assigned one of the locations you create.
Maximum of 1 million locations.

The above can be combined with "and" or "or"
connectors for some powerful searches. Also when
searching and a condition is found and you want to
find the next occurrence the system will ask if you
want to continue with current search or make a new
search condition. In addition, when building a Query
condition the system will allow you to count the
number of records that match that condition, or view
the records.

System Requirements:
- XT/AT/PS-2 or Compatible
- 640k
- DOS 3.2 or higher (not tested with less than 3.2)
- Hard Drive (required)
- Printer (optional)
- CONFIG.SYS (Consult your DOS manual if this is unknown)
Your CONFIG.SYS file must have the following statements:
FILES=15
BUFFERS=8
If the numbers in your CONFIG.SYS file are larger than
15 for FILES, and 8 for BUFFERS that is ok.

Installation:
Before installing IOS please make a backup copy of the IOS program
disk. Remember, If anything can go wrong it will! So having a
backup copy of the IOS disk will ensure that you can re-install the
software if something does go wrong. If you are not sure of how to
make a backup copy either look in the DOS book or call a friend.
Installation Steps:
1. IOS will only run from the hard disk! So we need to
create a sub-directory from the root. How do we do that?
Just type the following DOS command:
MD\IOS (Press Enter or the Return Key)
(explanation -- we just made a sub-directory
on the hard disk called IOS.)
2. Next we need to position ourselves so that we are inside
of the new sub-directory (IOS) we just created. So here is
how we do that. Type the following DOS command:
CD\IOS (Press Enter or the Return Key)
(Explanation -- "CD" means "Change Directory",
so we told the computer we
wanted to position ourselves
into the directory "IOS".
3. Now we are inside of the IOS directory. Insert the backup
copy of IOS into diskette drive "A:" or "B:" and type the
following DOS command to copy the IOS software to the new
sub-directory "IOS".
COPY A:*.* (Press Enter or the Return Key)
(Explanation -- We are now copying the
IOS software into the
"IOS" sub-directory.
4. Congratulations!! The worst is over. Thanks for your
patience.

Starting Up IOS:
To execute (or run) IOS please follow the instructions listed:
1. Turn on your computer or "Boot"
2. At the DOS prompt "C:\>" type the following DOS command:
CD\IOS (Press Enter or Return key)
(Explanation -- This positions you in the
"IOS" sub-directory where
the IOS software and files
are located.)
3. Type the following command:
IOS (Press Enter or the Return key)
(Explanation -- "IOS" is the name of the
program that executes. If this
is the 1st time IOS is executed
it will create all Files that
are needed.)
4. The "Main Menu" should appear, at this point all files are
present and the system is ready for you to begin working.

Main Menu Options:
The top row of the screen contains the Major options of the system.
Each Major option has a pull-down menu of minor options. Any Major
option can be chosen by using the left-arrow or right-arrow, or
pressing the first (1st) letter of the option. Once a Major
option is chosen the pull-down minor options are visible. The minor
options can be chosen by using the first (1st) letter of the option,
or positioning the highlight bar with the up-arrow or down-arrow and
pressing the Enter key or Return key.
The bottom section of the screen contains various system data such as,
how much memory is available (not being used), current DOS directory,
and how much disk space is available (not being used). This data is
displayed and cannot be changed by the user.

Editing:
Allows for file maintenance such as, add, chg, delete, for the various
system files. In addition, you can do searches for any field or fields
that contain certain data and then when the item is found edit that
item and continue the search for the next item. An item can be found
very quickly by specifying Item Search, this allows for a pop-up box
to enter as much of the spelling of the item as you know and the system
will pop-up a list with the 1st item that has at least as much as you
typed. If you are not sure of spelling, just press "Enter" and a
pop-up box of items will appear, by pressing the 1st letter of the item
you want to find another box will appear allowing you to continue
spelling or just press the "Enter key" and the list will be adjusted to
the first item that starts with that letter, or you can just use
up-arrow or down-arrow to position the highlight bar on the item you
want to edit and depress the "Enter key" and the edit screen will
reappear with the selected item.
If you want to edit all items in the category "Appliances" just select
"Search File" and create a search condition for Field Match is equal to
"Appliances" and when you return to the edit screen the first item in
Appliances will appear, upon editing that item, just select "Search
File" again and the system will remember the search condition and ask
if you want to continue with same search, just continue, and instantly
the next item in category "Appliances" will appear.

Inventory File .......... Add, Change, Delete, Search,

for each item in your
inventory.
Category List .......... Add, Change, Delete, Search,
Next Record, Previous Record,
for each Category you create.
Location List .......... Add, Change, Delete, Search,
Next Record, Previous Record,
for each Location you create.

Browse:
This option allows you to view the various system files. The Inventory
file has a large number of fields and in order to view them you can pan
left or right by useing the left-arrow or right-arrow keys.
You can select only the fields you want to view in the Inventory file
by selecting the option "Select fields to view" if you have no need to
view all fields. Also this is a handy way to view the fields of the
inventory file in the sequence (left to right) that suits you.
You may also select the sequence that the file is viewed. Example,
if you select Category Sequence all the items displayed on the screen
will be in Category sequence. The same holds true for Location, Item,
and VCR Tape Id.
Browse (Pull-Down Options)
Inventory File .......... View all or selected fields
of the Inventory File in the
sequence that you choose.
Category List ........... View all Categories that you
created.
Location List ........... View all Locations that you
created.

Reporting:
The reporting option allows for the creation of Simple Print Lists,
Labels, Form Letters, Sum or Average a field, and a Super Report
Writer that allows you to create your own reports.
The Print Lists is a quick and easy way to create a simple list of
inventory items. You pick and choose the fields that you want listed
on the report. Also a selection process is available to allow you
to only include the fields of your choice.
Form Letters allows you to write a letter and select fields from the
Inventory File to be included in the letter. This is very handy for
writing a letter to a store manager when you have some complaint
about a product, or to the manufacturer.
Create Labels is an option that allows you to design your own labels
and what fields in the Inventory file you want printed on them. You
can also select which labels will be printed by establishing a
selection criteria.
The Report Writer option gives you the ability to completely design
a report of your choice. Some of the many options include, select
fields, headings, re-sizing, footers, Major totals, minor totals,
Grand totals, column separators, total descriptions, standard headings,
date and time, restart of report, print to text file, page eject after
major or minor totals or before grand totals, underline totals, allows
for inserting of Printer ESC codes so condensed and letter quality
modes can be used, double space or single space report, top and left
margins, and many other options.

letter which allows for
including Inventory Item Fields.
Sum or Avg a Field ... Allows for quick totaling or avg
of any numeric field in the
Inventory file.
Report Writer ........ Comprehensive report writer that
allows you to create reports
of your choice.

Other:
This menu option allows for the Design of the Screen Appearance,
Selecting of Predefined Colors, Pop-up Calendar, and Pop-up Calculator.
The Design of the Screen Appearance option allows the user to pick
and choose from items such as, shadow positioning, box-frames,
exploding windows, and total color selection for background/foreground
for screens, and background/foreground colors for pop-up windows.
Predefined Colors is a list of 12 variations of colors that have been
given names such as California Cool, Sea Foam, Red Hot and more.
The pop-up Calendar allows you to page forward / backward by months,
years or days.
The pop-up Calculator allows for all standard functions and includes
memory capability.

Design Screen Apperance ..... Allows user to customize
the screens, colors,
shadows, box-frames, and
exploding windows.
Predefined Colors ........... A list of 12 color
selections by names such
as California Cool, Sea
Foam, Purple Passion, Etc

Utility:
This menu option allows for the Displaying of Text Files, System
File Statistics, and Compressing & Re-Indexing of System Files.
The Display Text File option allows for the viewing of any text file
in the IOS sub-directory. This option is great for viewing any
report that was written to a Disk Text File or for viewing this
document "IOS.DOC".
The File Statistics option will cause a pop-up window to appear
giving the Number of records in the Major files of the system and
shows the file size of each file and its associated index files with
a total by Major File. This option is helpful for determining disk
space for Diskette backup.
Compact & Re-Index option will cycle through the Major files of the
system and recover any unused space caused by deleting records and
create new index files.
**NOTE** If a power failure should occur while you are using the
IOS software there is always the chance that the index
files are corrupted. Don't Panic!! Just choose this
option and the index files will be re-created!
If you delete a large number of inventory items (lets say
you just gave Salvation Army half your house, then you would
have to delete those items from your inventory) then choose
this option to recover the wasted space the deleted items
are occupying. Now your inventory file should be smaller.
View Documentation option allows you to display the "Users Guide"
on the Screen. (Disk File name = IOS.DOC).
Utility (Pull-Down Options)
Display Text File ..... View any Text File
File Statistics ....... IOS major file statistics such
as, Number of Records, file
sizes, and index file sizes
Compact & Re-Index .... Recover deleted record space
and Reconstruct corrupted
index files
View Documentation .... Display "Users Guide" on
the screen (file = IOS.DOC).

Quit:
This menu option allows you to gracefully exit the Inventory Organizer
System.
The Author option allows me to display my Name and Address and
telephone number on you screen. Thank you for this privilege.
The Info option again allows me to provide you with current information
on registration amount, and where to send it.

How To:
This section is designed to help you get started and take you
through the logical steps of the system.
The IOS expects you to create the Category List, Location List, and
then add the inventory items. When adding a new item to the inventory
file, the field Category, will allow you enter a category name and if
the category name is not in the Category List that you have previously
entered, a pick list of acceptable categories will be listed on the
screen. If you press the Enter key without entering a Category name
in the Category field a pick list will appear of the acceptable
category names. Either way, you can pick a category name by, typing
the first letter of the category, if not visible in the window, or by
useing the Page-up, Page-Dn, Up-arrow, Dn-arrow, keys to position the
hilite bar over the category name for this item. After the category is
selected just press the Enter key (or Return key) and the category
will be placed into the Category Field of the inventory item.
The above process is duplicated for Locations. This insures that
all items have been placed in valid Categories and Locations.
The Category, Location, and VCR Tape ID fields are used as index keys
for the file. That is, reports and browses, can utilize these keys
to list the items in the proper sequence that you desire.
When the IOS is initially installed, it creates all the System Files
that are necessary. In addition to creating the files one (1) record
is added to each file. This was done just for the people who wanted
to take a quick look at the system. The Category that is created is
"Appliances", the Location that is created is "Kitchen", and the
inventory item that is created is "Refrigerator". These can be deleted
at any time, I just wanted something in the file so you would not have
to look at a blank screen.
As we continue into the next sections you will get a basic feel for
how the system operates. As you will soon learn, the system is
designed to interact with the individual, especially in the selecting
and Report Writer Sections.
The options are many and sometimes seem overwhelming, but just
give it your best shot and don't be afraid to try an option! The
system should not allow you to harm yourself or the data in the files.
** Note ** There is NO place where you can DELETE ALL Categories,
Locations, or Items. My suggestions is to experiment with a
few Categories, Locations, and Items. Print some Lists, do
a few Browses, and just plain have fun.

This is the Category Maintenance Screen. The Menu options on the
left side are the allowable functions. The right side is the Editing
section. At the bottom of the screen is a pop-up Menu Help that
describes the functions of each Menu Option.

The cursor appears in the "Edit Side" of the window. Now type the
name of a Category you would like to create (lets type "Furniture").
Press the "Enter key", the Category is now in the Category List.
Also on the last line of the "Edit Side" of the window you will notice
"[ESC=Exit] [Enter=Save]". If you decide the Category you typed
should not be added to the list at this time press the ESC key, prior
to pressing the "Enter Key", this will void the add function.
Congratulations! You have now added the Category "Furniture" to
the Category List.
If you misspelled the word "Furniture", choose the Function
"Edit Record" and type over the misspelled word, then press the
"Enter key". That is how to correct mispelling.
If you would like, you can now add as many (up to about 1 Million)
Category Names as you want. It will save you time when you start
entering Inventory Items if you add as many as you can think of, such
as Glassware, Books, Photography, Computer, Electronics, etc.
The Select Record function will present you with a pop-up list of
all the Categories you have entered (only about 10 in the window at a
time). You can type the first (1st) letter of the Category, Page-up,
Page-Dn, Up-Arrow, Dn-arrow, to find the Category, once found, you
can "Edit Record" or "Delete Rec".
Next Record and Prev Record functions allow you to step through the
file one record at a time, either forward or backward.
Quit allows you to return to the Main Menu. Either type "Q" or
position the highlight bar over the word and press the Enter key.

** Note ** All Location Names must be unique. For example,
Bed Rooms, you may have several in your home, but the IOS
must be able to distinguish between them. Each name must
be unique like: Bed Rm #1, Bed Rm #2, or something like
this "Mst Bd Rm", "Gst Bd Rm", or whatever you wish to make
each Location Name different.

This is the Inventory Item Maintenance Screen. The Menu options on the
left side are the allowable functions. The right side is the Editing
section. At the bottom of the screen is a pop-up Menu Help that
describes the functions of each Menu Option.

Edit Inventory File Cont'd:
Move the highlight bar down to the "Add Record" function, press Enter
or press the letter "A" for "Add".
The cursor appears in the "Edit Side" of the window. You will also
notice at the bottom of the screen the pop-up box "Field Help" is
explaining each field as you move the cursor into it. Another pop-up
box that contains "[ESC=Exit] [F10=Save]" is now on the screen in
the lower portion of the "Edit Side". If you press the "ESC" key
the Add function will be voided. If you are "Editing a Record" and
change only one field you do not have to press enter to pass thru all
fields on the screen just simply press "F10".
As you enter data into each field on the screen notice that the
"Field Help" pop-up box also designates if the field is "Optional"
or "Required".
The Item field must be a unique name, that is, the spelling of this
item cannot match any item that has already been added at some other
time. If the item is not unique the system will notify you that the
item that you are trying to add is already on file. If this is truly
a new item then you must change the spelling of the item to make it
unique. Uppercase letters and small letters are not the same, so be
careful as not to duplicate an item by one time adding it with
Uppercase Letters and the next time with lower case letters. The IOS
understands that these are not the same item.
When your cursor enters the Category field, you can press the "Enter
key" without typing a Category Name and a "Pick List" of all the
Categories you have established will appear in a pop-up box (10 at a
time in the window). If you type a Category Name in the Category field
and the Category is not in the Category List the system assumes that
it is invalid and presents you with the same "Pick List" as mentioned
above. If you type a Category Name in the Category field and the
Category Name is in the Category List the system accepts the name and
continues on with the next field. If the "Pick List" appears on the
screen you can move the highlight bar with the arrow keys until it
highlights the Category you desire and then press "Enter key" and
the system will automatically store the selected Category in the
Category field, or press the first (1st) letter or type as much of
the Category name as you wish and the system will position the
highlight bar on the nearest Category. Then you can press enter if
that is the Category you desire or use the arrow keys to select the
one you want, then press "ENTER".
The Location field has the same rules as the above Category field.

Edit Inventory File Cont'd:
The fields Mfgr (Manufacturer), Model, and Serial # are optional
and do not require an entry.
The field "Purch Date" (Date of Purchase) is Required.
The field "Purch From" is an optional field.
Purch Qty is the number of items you bought. It is a Required field.
Enter the total number of purchased items. Example: 4 dining room
chairs, you would enter 4 in the Qty field. If no quantity is entered
an error message will pop-up on the screen to alert you of the error.
Purch Price is the $ amount you paid for one (1) of the items, if
more than one item was purchased. This is a Required field.
Total Purch is a non-edited field. It is a calculated field, based on
"Purch Qty" times "Purch Price"(1 item) = Total Purch
Warranty Exp (Warranty Expiration Date) is the date the warranty
expires, if this item was covered under warranty. This field is
optional. The IOS system will ensure that the date you enter is
after the Purchase date, otherwise, a pop-up box will alert you to
this error condition.
VCR Tape Id (Name on Label of VCR Tape) is an optional field. An index
is maintained on this field, this allows you to print reports, and
browse the inventory file in this sequence. The index is actually
composed of two parts "VCR Tape Id" and "VCR Counter" which means that
the items are sequenced by VCR Counter within VCR Tape ID.
VCR Counter (Tape Counter Number) is an optional field. See above
information on VCR Tape Id.
Upon exiting the last field on the screen, a pop-up box asking if you
want to "Add New Item?" ("Yes" or "No"). The "YES" will be highlighted
so just press "Enter key" or if you decide not to add this item press
the "N" for no or use arrow key to highlight the no and then press
enter.
Give yourself a pat on the back! You have successfully added a NEW
item to the inventory file. Now you can continue to add new items
(up to 1 Million -or- should I say until disk space is exhausted).
The 3 main goals of the HOW TO section were to:
1. Add new Category to Category List.
2. Add new Location to Location List.
3. Add new Inventory Item to Inventory File.

This option allows you to position yourself in the file
or look for certain criteria. The above menu options

Field Contents Match ... Takes you through a
process of questions
to create a search
selection on any field
in the inventory file.
Such as "Item Desc
contains White" will
select only items that
have the word "White"
in the description
field.

Query Match ... A query is simply a search
condition. But the system will
retain this search condition
for as long as you are in this
function, or until you change
it. Very similar to Search
File.
End of File ... Positions you immediately to
the last record in the file.
Beginning of File ... Positions you to the
first record in the file.
Deleted Records ... (Future enhancement ...
does nothing)
Memo Contents ...... (Future enhancement ...
does nothing)
Item Search ... Pressing the Letter "I" or positioning the highlight
bar over this option and then pressing the "Enter key"
will select this option. Selecting this option will
cause a pop-up box to appear that asks:
"Item to search for: or (Enter for Item List)"
This option uses the item index for a fast look-up.
When the above question appears you have two options
either type a few letters of the name of the Item you
want to find or press the "Enter key" without typing
anything and a pop-up list of items will appear.
When the pop-up box appears you may use up, down,
page-dn, page-up, keys to manually position yourself
to the item you desire or type the first letter of the
Item you wish to find and instantly another pop-up box
will appear that will allow you to type a few more
letters of the name of the item or just press enter and
the pop-up list in the window will be positioned to the
item that has at least as many characters in its name
as you typed. Then move the highlight bar, if it was
not already selected, over the Item and press
"Enter Key". The Item is now placed in the "Edit Window"
for you to review, delete, or edit.
Table View ... Pressing the Letter "T" or positioning the highlight
bar over this option and then pressing the "Enter key"
will select this option. Selecting this option will
cause a pop-up window of items for you to position
yourself (move highlight bar over item) and then
press "Enter key". The pop-up window will disappear
and the item you selected will be in the "Edit Window".

bar over this option and then pressing the "Enter key"
will select this option. Selecting this option will

This option allows the creation of a search condition
based on user defined specifications. After query is
created you can test the query by selecting "View
records matching Query". The first record that matches
the current query condition will be shown. If no
records match the current query a message will also be
shown. If you need a count of the records that match
the newly created query, select option "Count Matching
Records". If you feel the query that you create will
be used more than once you can save the query in a disk
file for later retrieval by selecting option "Save
current query to Disk". To retrieve any saved queries
select option "Restore Query from Disk".
Once a query is created and you are certain it finds
the correct records then select option "Quit". You
will be returned to the Inventory Item Maintenance
screen. Now upon selecting the option "SEARCH FILE"
you will notice that an option "Query Match" is in the
pop-up box. Choose the option "Query Match" and you
will be asked: "Modify Query" "Yes No" ; select No
and the first record matching your query will appear
in the "Edit Window". At this point you can delete or
edit this item. When finished editing the item, select
"SEARCH FILE" and you can continue looking for items
that match the Query Condition.
The query condition differs from a Search condition in
that the query condition does not vanish when all items
that match are exhausted. Once you leave the Inventory
Item Maintenance screen the query is no longer in
effect.

Edit Record ... Pressing the Letter "E" or positioning the highlight
bar over this option and then pressing the "Enter key"
will select this option. Selecting this option will
cause the cursor to appear in the "Edit Window" of the
current item. Once the cursor is visible you may
change any field in the current item. If only one
field needs changing just press the "Enter Key" until
the cursor enters that field then make the necessary
corrections. You do not have to press the "Enter key"
for each field if you are finished editing this record
all that is needed is to press F10. See bottom section
of "Edit Window" and you will note the small pop-up box
that says "[ESC]=Exit [F10]=Save". If you decide
that the changes are not needed or would like to
restore the original data, press the "ESC key" and the
Edit process will be voided. After all changes have
been made you will be prompted "Save Changes?" "YES NO"
this gives you a second chance to decide if everything
is correct.
Add Record ... See Page 21 for complete description of Add Process.
Delete Rec ... Pressing the Letter "D" or positioning the highlight
bar over this option and then pressing the "Enter key"
will select this option. Selecting this option will
allow you to DELETE (Remove forever) the currently
selected item from the inventory file.
A pop-up box will ask "Delete this Record" "YES NO".
This will give you a second chance in case you change
your mind or accidently chose this option. If you
choose "YES" the item will be deleted, never to be seen
again.
Quit .......... Pressing the Letter "Q" or positioning the highlight
bar over this option and then pressing the "Enter key"
will select this option. Selecting this option will
allow for a neat and orderly return to the Main Menu.
** NOTE ** The ESC key will also allow you to quit.

Print Lists:
-----------
Print Lists is a menu driven utility for creation, printing and
storage of list definitions.
The Print Lists is a quick and easy way to create a simple list.
The user can pick and choose the fields to be listed on the report.
The selected fields, in the order they will be listed, are shown in
the bottom information box.
The user may select which records are to be included in the list, all
records, query matches, or tagged records.
The user may select output as Printer, Screen, or Text File, and choose
the maximum line length to avoid printer wraparound.
The user may save List definitions in a system database file and later
restore them.
** Note ** No totals or Report Headings (just quick lister)
For the above items choose REPORT WRITER!
** Quick Tip ** Use this option when originally entering all your
inventory items for a quick list to verify your
data is entered correctly and that you did not forget
something.
Change your printer to condensed printing to allow for
more data to be printed on a line.

Create Labels:
-------------
Menu driven module for creation, printing, and storage of Label
definitions. The user can pick which inventory item fields will
be printed on the labels and what lines they are printed on.
Multiple items can be printed on a line. Constant data can be printed
on any line or interspersed between inventory item fields if so
desired.
Creation of a label is totally menu driven with help screens. Sample
data is shown on the screen as you interactively build the label.
A pop-up window of all inventory item fields that can be included on
the label is displayed for ease of use. A test pattern can also be
printed. The selection of a Printer port is available (LPT1,
LPT2, COM1).
The user may select which records are to be included in this label
run from a pop-up menu of "Query Matches" or "Tagged Records".
Tagged records creates a pop-up window for manually selecting the
records to be printed. The Tagged process also allows for a search
procedure to help speed things along. The "Query Match" procedure
allows the user to specify the selection criteria for which records
will be chosen to be printed.
Each NEW label creation is given a name by the user. The user has
the option of deleting the Label Name or saving it for later use
another day.

Write Form Letters:
------------------
Interactive form letter and mailmerge utility. This option allows
the user to create a Form Letter and have data from the inventory
database interspersed with the contents.
A pop-up window for creating a letter or document is displayed when
the user selects NEW form. The user types the letter or document
(lets say to a Store Manager where you bought a product that has not
performed or lived-up to your expectations....in other words a problem
letter) and by pressing a Function key can choose a field from the
inventory data base to be included in the letter or document. The
data will not be included at that second but when the letter is printed
the inventory item data will replace the inventory item field name.
A pop-up help window is available. The help window gives a brief
explanation of the cursor movement keys and how the form letter works.
Once the letter is completed the user would choose "Filter".
This will enable the user to select the item ("Query Match" or Tagged)
(The "Tagged" process is probably the better choice....why?
because you can select the record from the inventory item file that you
want very easily) whose data will be used in the letter.
Once the item is Tagged, the user should choose "Print form letter".
Now the inventory item data is merged with the form letter and appears
on the screen with a pop-up box in lower right corner. The user
can, Print this letter now, or EDIT the letter (maybe you misspelled
a word or want to add something), skip this letter, or Quit this
process.
Each new letter that you write is saved for later retrieval, if you
so desire. Thats real handy when you have to write several letters
to resolve a problem.
This process is really very simple, but trying to explain it in words
makes it sound very difficult. There is no substitute for trying it
yourself. It sure makes having to write a letter about some problem
a lot easier, mainly because you have all the data about the item
at your fingertips.
Sum or Average a field:
The user is presented with a pop-up box to choose whether he wants to
"SUM or AVG" a field. Next a pop-up box displaying all numeric fields
in the inventory file will be displayed. The user selects one of the
fields and the system responds with the appropriate answer.
** NOTE ** Select "SUM" of "Tot_Purch" for Grand Total $$ in your
inventory file.

Report Writer (Tutorial):

The report writer is a menu driven interactive process that allows
the user to create a report with the fields and characteristics of
their choice.
Before we start the tutorial lets cover a few basic parts of a report.
Every report is composed of the following component parts:
1. Headings
2. Body of report -- Detail line items
3. Major Breaks ---- Sub Totals ... if needed
4. Minor Breaks ---- Minor Totals . if needed
5. Grand Totals ---- if needed
6. Footers
Tutorial Project: To design a listing of all items in our inventory
file. We want the "Headings" to have the family
name ("Jones Family") and name of report "Category
Listing".
We want the inventory items to be listed in Category
sequence and "Major Break" to occur when the
category changes, that is we want a total of the
items in each category. At the bottom of the report
we want a GRAND TOTAL.
Lets try to make a sample print-out by hand:

6. Highlight"Edit Report" ... We are now about to define the column
data or the body of the report.
Either press "E" or highlight "Edit Report" and press enter.
The highlight bar should then move to Column Contents.
The left side of the screen has now changed to the "Editing
keys" information.
7. We are now going to define the columns of the report, which will
be the inventory item fields.
Press the [Insert] key
8. At the bottom of the screen 2 choices appear:
*--> Pick database field for this column
Use spaces for filler
The 1st option should be highlighted .... PRESS ENTER
9. Instantly a pop-up window appears: Select Field.
This is a list of all the fields in the inventory item file.
Our task is to now pick the fields (left to right on the
Report) that we need. Item is the 1st field on our report.
Highlight the field: Item ....PRESS ENTER
10. At bottom of screen 2 choices appear:
*--> Use value contained in database field: ITEM
Build extended expression from field : ITEM
The first option should be highlighted....PRESS ENTER
Now the information for this inventory file field (ITEM)
is placed in the first (1) row at the top of the screen.
We have now defined the 1st field on report.....ONLY have
2 more to go......
11. Next field we will choose is "ITEM_DESC" (item description)

18. At bottom of screen 2 choices appear:

The first option should be highlighted....PRESS ENTER
OOPS! The IOS has determined that we have exceeded the
standard width of a report.....hum...but that's
ok, the description field is so long (54 characters)
we don't need all that description on our report.
Its a simple process to change the length of the data
that will be printed! Lets continue on and we will
change that in a few minutes. Do I detect doubt...?
Just press any key on the keyboard!
19. Now the highlight bar should be in "Column Contents" on the field
PUR_TOTAL.
Move the highlight bar (use up-arrow key) to the row that
contains ITEM_DESC (item description) field and position the
highlight bar in the column titled "Width". Now the value "54"
should be highlighted, this is the length of the item
description.
Press the "Enter key" and the system responds by asking for a
NEW WIDTH. Lets replace the "54" with "40".
Type "40".
That was easy enough.....The system is not limited to 80
columns. The default length is established by the user in the
"Other Options" section. Also we could tell the printer to
use the condensed mode, either by manually switching our
printer or including the Printer Escape Code for condensing
the print in the "Other Options" section Page 3.

20. Now we need to address the need for TOTALS on the report.
Move the highlight bar to the row that contains "PUR_TOTAL".
Now move the highlight bar to the last column "TOTAL",
this tells the system that it is suppose to not total "N" or
"Y" yes to total.
With the "N" highlighted in the row "PUR_TOTAL" ..PRESS ENTER
In the bottom left hand column of screen 2 choices appear:
*--> Total this column
Don't total this column
The first option should be highlighted............PRESS ENTER
21. Look in the column "Editing Keys". You will notice that it says
the ESC key will allow us to exit.
Press the [ESC] key
22. The system returns us to the Report Writer opening Screen.
23. OK, lets go put a heading on our report!
Move the highlight bar to "Headers/Footers" and press Enter
or press the letter "H".
24. The system responds by asking,(at the bottom of the screen):
Number of header lines 1-9: 0
you respond by typing "2" ( we need two heading lines)
Number of footer lines 1-9: 0
you respond by pressing the Enter key (no footers)
25. A pop-up window titled: "Headers/Footers" appears.
On line 1 type: "The Jones Family" (or your family name)
On line 2 type: "Category Listing" (name of report)

26. The system is asking for:
(Leave as is) (Center) (Left Justify) (Right Justify)
Move the highlight bar (use right-arrow) until
"CENTER" is selected.
Then Press "ENTER key"
You will notice the system has "Centered" the header info.
27. How do we get Category Sub-totals is the next issue.
Move the highlight bar to "Grouping Order" and press Enter
or press the letter"G".
28. A pop-up window appears: "Select processing order"

View current sort selection
Deactivate current order
The system is asking what order do we want our report
to be printed in.
The 1st line should be highlighted...PRESS ENTER
29. Another pop-up window appears: "Select index to Use"

then PRESS ENTER.
30. An explanation window will now appear.....when done reading

33. Next pop-up says select Secondary group from index key?
Press "N" for NO .....we do not want a secondary group total
34. Its now time to see the many "Other Options" and make a few changes
to make our report look better.
Move the highlight bar to "Other Options" and press enter
or press the letter "O".
35. A large pop-up window appears titled: "Page Layout options 1"
Move the cursor (use the down-arrow key) to the line titled
"Underline totals....." N
Press the letter "Y", this will tell the system to underline
any totals on the report.....makes them easier to see.
36. The second page "Page Layout Options 2" appears:
Move the cursor (use the down-arrow key) to the line titled
"Column Separator ......" |
We want to Replace the character that is there with a "Space"
or blank.
PRESS The SPACE-BAR (the character disappears)
37. Press the Down-arrow key until you have gone through all the fields
on the current screen. We want to get to Page 3, to make more
changes.
38. You should now be on page 3 "Page Layout Options 3"
The first option on this page is:
Include standard 2 line header.... N
PRESS "Y" ..... this will inform system when report is printed
to include Date, Time, and Page Numbers.

39. Continue to press Down-arrow key through the last field. This will
automatically return you to the Super Report Writer opening screen.
40. CONGRATULATIONS! ITS TIME TO PRINT THE REPORT.
Move the highlight bar to "Print Report" and press ENTER
or press the letter "P".
41. Two options appear at bottom of screen:
*--> Printer
Disk File
The option "Printer" is already highlighted ... PRESS ENTER
42. Next option asks for Page to start printing:
Page to start printing: 1
Press ENTER key
43. Last chance option:
Go for it? Y
Press ENTER key
44. Select printer port.
Use default printer? Y
Press ENTER key
45. The REPORT SHOULD BE PRINTING NOW! ALSO SCROLLING ON SCREEN!
When Report has finished ... a message to hit any key
to continue will be on the last line....
REPORT COMPLETE...PRESS A KEY....
Your action is to press any key
46. We are now back to the Report Writer opening screen.
47. Finally, we should save this report definition for later use.
Move the hilite bar to "Save Report" and press ENTER
or press the letter "S".

48. The system responds with a question. What name to give this report?
Report title: Category Listing
If this name is ok, just PRESS ENTER, or type a new
name for the report and then PRESS ENTER.
** NOTE **
The above step will allow the Report definition to be saved
in a database. At some other time, we can recall this report
definition by selecting the option "Load Report" from the
Report Writer opening screen. Once the report definition is
loaded we could make changes or make no changes and then select
"Print Report". That would save us from having to define the
report again.
49. The time has come for us to "Quit" the Report Writer!
Move the highlight bar to "Quit" and Press ENTER
or press the letter "Q".
50. The system will always ask do you want to save Report before exiting
Do you want to Save Report Category Listing ?
Since we have already saved the Report Definition
for the Category Listing ....
PRESS The LETTER "N"
51. You should now be returned to the "MAIN MENU"
